Managing Users
To add users to Procedureflow, you invite them and define the entry point(s) they will be members of and their role. A pending invitation can be withdrawn or resent.
When a user accepts the invitation, they become an active user which counts toward your license allocation. If a user is no longer active in Procedureflow, you can disable them to remove them from the billing cycle.
An Org Admin can change the entry points that a user is assigned to, as well as their role in each.
Each of these tasks is performed on the Administration > Users page. To aid in managing these user tasks, click ... > Export CSV to export one or more of the following:
- Users - All users including their status and last active date.
- Users - Entry Point Memberships - All users including entry point access, roles, and last flow view date.
- Invitations - All pending invitations including invite date, name (if available), email, and invited by.
- Invitations - Entry Point Memberships - A more detailed list of all pending invitations that includes the entry points the users were invited to and the role for each.
Note If a user belongs to multiple entry points, they will appear across multiple rows in the Entry Point Memberships CSVs.
These exports:
- Provide an organization-wide, real-time view of users, entry point membership, and roles so you can quickly understand who has access to what.
- Help you to identify active vs. inactive users and track adoption.
- Support proactive onboarding and adoption management by surfacing invite status and last activity.
With these lists in hand, you can more efficiently identify which tasks to perform on which users:
- Invite users
- Withdraw or resend an invitation
- Disable or reactivate a user
- Changing a user's entry point memberships
